New Reservation

There are two ways to create a hotel reservation, using the New Reservation action on the Role Center pages or the New action on the Reservation List page.

To create a new Hotel Reservation

To create a new Hotel Reservation

  1. From the Role Center, click the New Reservation action.
  2. Fill the relevant fields.
    Note: Fields that are required in order to continue are marked with a red asterisk.
  3. Click Confirm Reservation.

The following tables describe the fields on the New Reservation page:

General FastTab

Field Description
Group Reservation Specifies if the reservation you are creating is a single reservation or a group reservation. If turned on, a group is created. (Guest Name in the Guest Information FastTab changes to Group Name).
Arrival Date Specifies the date when the guest will arrive at the hotel.
Departure Date Specifies the date when the guest will depart.
Nights Shows the number of nights the guest will stay at the hotel.
Property Specifies the property where the guest will stay.
Reservation Type Specifies the reservation type of this reservation.
Rate Code Specifies the rate code the guest is booking.
Routing Rule Specifies the routing rule of the reservation.
External Res. No. If this reservation was originally created in another system or has some information in another place, you can insert that number here.
Market Segment Hotel market segmentation is the process of grouping hotel guests into categories based on their booking patterns and travel habits. Here you can select which segment this guest belongs to.
IATA  No./Commission An agency IATA number is an account number. It uniquely identifies a travel agency within the IATA network.

Guest Information FastTab

Field Description
Guest Name The name of the guest. This field is linked to the Member Contact table and will automatically fill the related fields, if the guest is already in the system.

For example, Stefan Thompson is already in the system, so fields like Email, Country, Guest No., Phone No. and so on, based on already saved information in the Member Contact table, are added automatically.

Guest Email The guest's email address.
Country The guest's nationality.
Guest No. A unique identifier for the guest, the member contact - Contact number.
Customer Name If a company is related to this reservation, this field works the same asGuest Name. If already in the system, contact information based on the information on the customer is automatically filled in.
Contact The contact for the customer.
Phone No. The guest's or contact's phone number.
Mobile Phone No. The guest's or contact's mobile phone number.

Price/Availability FastTab

Here you can select which room type this guest is booking, how many rooms to book, and how many guests will be accommodating the room. This Matrix view holds a number of valuable information for this process.

First the basics, Room Type, No. of Rooms, Adults, Children, and Amount incl. tax. In fields Day1...Day14, the dates are filled in depending on the arrival and departure dates that were inserted in the General FastTab. For each day, you can see the price and how many rooms are available for each room type, in this format Price/No. of rooms available.
In some cases, for example if the availability has been altered with Channel Availability, an asterisk (*) is added back of this format Price/No. of rooms available*. If clicked, the Hotel Availability page opens with more detailed information.

If "NA" is displayed instead of a price, there is usually a notification at the top of the page indicating the reason for the NA. Most often, this is due to no rate code configurations being in place or because there are no rooms available, and so on.
